Job: Project Coordinator

We’re looking for a full-time Project Coordinator to join our growing team. This role is key to supporting project execution by coordinating activities, maintaining documentation, and ensuring projects remain on schedule and within scope. You’ll serve as a coordination hub for the department, assisting staff across multiple projects to meet deadlines and deliver exceptional results.
- Provide project accounting support to project managers
- Assist project managers with project estimates, proposals, and subconsultant contracts by offering editing and accuracy reviews
- Assist with project documentation controls: submittals, RFI’s, proposals, etc.
- Assist in meeting priorities and deadlines on project deliverables
- Coordination of licensing and registrations
- Support maintenance of contract documents
- Help identify and track RFP’s/RFQ’s and other new business opportunities
- Assist in developing and maintaining procedures to maintain office efficiency and quality of documents, reports, letters, and specifications
- Assist with various office administration tasks as needed including, answering calls, coordinating group meetings, office events, conference registration coordination, travel arrangement, etc.
- Other duties as assigned
- Bachelor’s degree in construction management, business administration, or related field AND 3+ years of relevant experience OR equivalent education and experience
- General ledger cost accounting experience preferred
- Understands project accounting, contract documentation, and project compliance requirements
- Proficiency with Microsoft Office, including Excel, Word, and PowerPoint
- Familiar with project documentation processes, licensing/registration, and RFP/RFQ procedures, project set-up, project tools set-up, project invoicing, and project closeout
- Detail oriented with the ability to manage multiple projects and deadlines simultaneously
- Skilled in composing, editing, and proofreading business documents with accuracy and professionalism
- Excellent verbal and written communication skills with a proactive, problem-solving mindset
- Adapts to varied administrative and project support tasks while maintaining attention to detail
- Ability to work on a computer for extended periods
- Ability to sit and/or stand for extended periods
