Job: Senior Marketing Specialist - Knowledge Management

At GBA, our people are the heart of everything we do. We’re seeking an organized and proactive Sr. Marketing Specialist - Knowledge Management to support the day-to-day operations of our Marketing team and help deliver a positive employee experience across the organization.
The Sr. Marketing Specialist – Knowledge Management is responsible for developing and implementing knowledge-sharing processes, tools, and resources across the company. This role administers the CRM (Unanet), owns the file organization on the shared marketing drive, and supports firmwide strategies that connect people to the information they need to serve clients, win work and foster collaboration. They demonstrate a commitment to data accuracy, continuous improvement, and cross-functional alignment, and are responsible for leading pursuits as needed.
What You’ll Do:
- Facilitate the implementation, training, and adoption of Unanet CRM across all affiliate companies.
- Develop and document best practices, workflows, and usage guidelines to ensure consistent and effective system use.
- Maintain high-quality data by overseeing the entry and accuracy of opportunity, project, personnel, and client records.
- Conduct ongoing data cleansing and ensure alignment between Unanet, the accounting/ERP systems and the marketing shared drive.
- Provide proactive user support and training, especially for seller-doers and marketing/business development teams.
- Create custom dashboards and generate reports to support pipeline visibility, opportunity tracking and strategic insights.
- Monitor and analyze system usage to identify trends, inform improvements, and maximize CRM value.
- Manage a centralized knowledge base of information on the shared marketing drive of resumes, project information, and marketing assets for reuse in proposals and pursuits.
- Provide support on proposal and qualifications responses from kickoff to submission, ensuring compliance with client requirements and brand standards.
- Other duties as assigned.
Supervisory Responsibilities:
- May have direct reports and/or oversight of projects and initiatives.
- Act as a leader, mentor, and coach to lower-level staff, providing guidance and training.
- Mentor others in embodying the core values, proactively aligning efforts with the company’s vision and leading initiatives that enhance and sustain the company culture.
What You Bring:
- Bachelor’s degree in communications, marketing, information systems, business administration, or a related field AND 5+ years of relevant experience OR an equivalent combination of education and experience.
- Experience with CRM (Unanet) management, marketing operations, knowledge management or related roles in the Architecture, Engineering and Construction (AEC) or professional services industry preferred.
Technical Skills & Abilities:
- Demonstrated ability to manage complex databases and develop scalable workflows.
- Strong knowledge of CRM best practices and AEC industry trends.
- Highly organized and detail-oriented with a commitment to data accuracy.
- Ability to work collaboratively and independently in a fast-paced environment.
- Advanced interpersonal, communication, and presentation skills to effectively engage with diverse audiences, from employees to leadership.
- Models advanced professionalism and proactive engagement, applying high standards and optimized practices that strengthen team outcomes.
- Ability to translate feedback into improvements that enhance outcomes and provide guidance to peers in applying feedback effectively.
- Proficiency in Adobe Creative Cloud (InDesign, Photoshop, Illustrator) and Microsoft Office Suite (Word, PowerPoint, Excel).
Physical Requirements & Work Environment:
- Ability to work on a computer for extended periods of time.
- Ability to sit and/or stand for extended periods of time.
Travel:
